SEASONAL POSITIONS/SUMMER 2008 INTERNSHIPS
AT THE PHILADELPHIA FILM SOCIETY
Presenting the 14th Annual Philadelphia International Gay & Lesbian Film Festival: July 10-21, 2008 Founded in 1995 by TLA Entertainment Group, the Festival presents a "rainbow" of GLBT film and video images from around the world. The festival screens as many as 200 features, documentaries and shorts, and attracts an attendance of over 25,000, making it the largest gay and lesbian film festival in the Eastern U.S.
DISTRIBUTION MANAGER – SEASONAL
20+ hours per week, some weekend time required.
The Distribution Manager is responsible for coordinating the distribution of over 20,000 program guides throughout the Greater Philadelphia region. The program guide is expected to hit the streets within the last two weeks of June. This position may be a part-time opportunity and may be done at any time throughout the day. This position reports to the Director of Operations and the Managing Director. The pay is a moderate weekly stipend.
Start Date: Monday, June 23rd
End Date: Friday, July 25th
Duties include:
Coordinating program guide locations and keeping an organized tally of the quantity each
location receives;
Overseeing and managing the volunteer force that assists with program distribution;
Implementing the festival’s distribution plan for the region;
Knowledge of additional distribution locations that could help promote the festival.
Qualifications/Expectations:
Knowledge of Marketing is a plus; thinking out-of-the-box even better;
Ability to carry and transport heavy materials is a must;
Valid driver’s license and reliable car is required; not afraid of inner-city traffic.
FILM FESTIVAL EVENTS INTERNSHIP
20+ hours per week, with additional time required during the festival.
This intern works with the Managing Director to develop programming, coordination and production of Film Festival events, including but not limited to: Opening Night, Closing Night, the Festival Kick-Off Party, Award Presentations, Guest Receptions, and additional parties and events.
Duties include:
Serving as a liaison between the Film Society and its sponsors, vendors and patrons regarding
these events;
Working with event coordinators in creating, programming, and designing events and parties
for the film festival;
Serving as a knowledgeable source on all festival programming and events to promote
on ongoing basis while hosting festival guests;
Assisting festival staff where needed.
Qualifications/Expectations:
Event planning and organization skills, creativity, attention to detail, excellent communication skills,
and patience are all useful skills for success.
MEDIA RELATIONS INTERNSHIP
35-40 hours per week.
This intern works with the Director of Media Relations in order to promote the film festivals. By working with the Philadelphia Film Society, interns have a backstage pass to understand how a film festival is planned and executed, focusing on promoting, advertising and reporting about the festival through local, national and international news outlets. The media relations team serves as the primary liaison between the festival and all outside press.
Duties include:
Updating the current media database by adding new contacts;
Managing the screening files, which includes soliciting film screeners, following up on requests,
filing and making copies of film screeners;
Maintaining a clip file, which includes requesting tear sheets from media outlets;
Assisting in the creation of press materials;
Preparing and disseminating press kits through mailings and e-blasts;
Pitch local, regional and national media for stories about PIGLFF films;
Preparing the arrangements of press interviews and escorting guest filmmakers to press locations;
Assisting in the promotion campaigns for PIGLFF.
Qualifications/Expectations:
Dependability, initiative and ability to follow direction;
Desire to learn about public relations, promotions and marketing in an office setting;
Strong communication skills, particularly writing and telephone contacts;
Willingness to perform administrative and clerical assignments;
Background in public relations strongly preferred.
MARKETING / OUTREACH / PROMOTIONS INTERNSHIP
20+ hours per week, a considerable amount of additional time may be required during the festival.
This intern assists the Executive Director, Managing Director, and PFS Staff in soliciting audience interest and group sales (student groups / field trips) to attend the Philadelphia International Gay & Lesbian Film Festival, along with targeting specific groups and niche markets to increase awareness of festival programming and volunteer opportunities. A salesperson attitude and passion for working with people are essential. This internship provides a positive learning ground on how to cultivate relationships between organizations. This internship will also include maximizing those relationships to promote the Film Festival and the Film Society.
Duties include:
Identifying niche markets and programming opportunities for school curriculum and
special interest groups;
Maintaining contact lists to help cultivate working relationships between organizations;
Assisting the PFS Staff to fulfill contracts between the Film Society and sponsors/advertisers;
Assisting in the promotion of festival events, Film Society membership and the film festival;
Assisting in the distribution of the Festival Program Guide.
Qualifications/Expectations:
Willingness to perform administrative and clerical assignments;
Strong communication skills, patience, creativity and some sales abilities/knowledge
will lead to success.
FESTIVAL OPERATIONS INTERNSHIP
Minimum 3 days per week, significantly more during the festival.
This intern is responsible for one of the most important aspects of the festival – operating and staffing the festival venues. The 300+ volunteers are the backbone support of what allows the festivals to run smoothly. This intern works with the Director of Operations to handle recruitment, training, and scheduling of volunteers; assisting in the day-to-day functions of the film festival venues from opening or closing venues to ensuring a smooth of any major events at the venues. Strong attention to detail is required, ability to handle and juggle various schedules while working in a high pressure environment. This is a wonderful opportunity to gain experience with problem-solving, scheduling, personnel management, and overall administration of a large scale film festival. This position requires excellent organization, knowledge of Microsoft Office and Excel is a must. Ability to get along with and manage different personalities is essential to success in this position.
Duties include:
Maintaining and updating the volunteer database;
Communicating, coordinating and scheduling of shifts for all volunteers;
Set up of all volunteer training sessions;
Assisting with fulfillment all volunteer needs before and during the festival;
Managing daily festival paperwork involving venue staffing, film screenings,
guest appearances, event schedules, etc.

GUEST SERVICES INTERNSHIP
15-20 hours per week (40+ hours per week, mainly weekends and evenings, during 3 weeks of festival)
The Guest Services Intern serves as an assistant to the Director of Guest Services. In addition to being delegated regular administrative duties and special projects, the Intern will often serve as the point person in lieu of the Director, working with guests, the Guest Services Team, other staff, and patrons.
Duties include:
Communicating with and coordinating guests, staff, hoteliers, and other sponsors;
Arranging transportation, accommodations, and itineraries for our more than 100 guests;
Organizing pick-ups, registering guests, and orientating guests to the Festival and the city;
Managing in-town transportation, meals, festival schedules, and special event attendance;
Other duties involving guest relations as needed.
Qualifications/Expectations:
Detail-oriented, hard worker with strong communication skills;
A combination of good organization and the ability to adapt and problem-solve on your feet;
Professional demeanor and enjoy working with a variety of people;
Driver’s license with good driving skills, knowledge of film, and foreign language are all preferable;
Knowledge of the internet and MS Outlook, Excel and Word is essential.
WEB MARKETING AND TECHNOLOGY INTERNSHIP
15-20 hours per week (a portion of which may be accomplished via out of office login).
This intern is responsible for various aspects of maintaining the festival web presence - helping to generate buzz, promote festival programming, and support festival patrons via online resources, including Phillyfests.com, Myspace, Youtube, and more. This intern must be extremely detail-oriented while adhering to strict deadlines, and be able to work independently and diligently with limited instruction. This position is an excellent opportunity for creative thinking and problem solving, requiring careful attention to accuracy in maintaining festival web presence, including detecting technical glitches and proofreading. A general understanding of websites and how they function is desired, along with top-notch communication skills. Experience with HTML, web design, or computer programming is also desirable but not required.
Duties include:
Apply marketing savvy to web promotions opportunities (website, e-mail, rss-feeds)
Communicate with Media Director, Managing Director and Tech crew to post updates and
promote events.
Respond to Myspace "friend" requests and maintain active presence via that service.
Update website announcements and frequently navigate site functions to quickly detect errors.
Strong communication skills, patience, creativity and some sales abilities/knowledge will lead
to success.

NOTE: Many of these internships may be combined or juxtaposed to offer a more comprehensive internship within a non-profit, event-producing organization to meet curriculum requirements.
